Document Signing

Signed in minutes. Valid where the law allows.

Send a secure link and your client signs on whatever device they have open: phone, tablet or computer, with no app, no printer and no scanner. Every signature is captured with recorded consent on a tamper-evident audit trail, and every completed document is sealed, with a certificate on every copy you download. And what South African law says may not be signed electronically is refused, not fudged.

Works wherever your company is. Built-in document rules follow South African law today

R 249a person a month, down to R 139 for bigger teams

Prices exclude VAT. VAT is added only where your country requires it.

Every plan has a minimum of R 299 a month, excluding VAT, for your whole company, not per person. If your bill comes to more, you pay that instead.

A homeowner signs a building variation on his phone at home, from a secure link.

The unsigned document is the expensive one.

  • A mandate that lapses while the paperwork travels is commission exposed, and a competitor’s opening.
  • Deals cool off at the printer: print, sign, scan, email, again for every party.
  • When an agreement is disputed, “they definitely signed it” is not evidence. Who signed, when, after seeing what: that is.
  • And the silent one: a signature on a document the law never allowed to be signed electronically is not a signature at all.

Send one link. Get back a signed, sealed document, with the evidence attached.

Every document signed on screen comes with a certificate

When the last person signs, the document is sealed and a certificate page is added. It is the proof that the signing happened, and who did it.

  • Who signed, and exactly when.
  • How each person was checked, such as the one-time code sent to their phone or email.
  • That each person agreed to sign electronically first.
  • A record of every step, from sent to signed.
  • Proof the file has not changed since.
  • Everyone who signed gets the sealed copy with its certificate by email.
The certificate page added to the sealed document: the document, its legal basis, its integrity checks, and the first party with how they were verified.

How it works

Three steps, start to finish

  1. The company’s documents with their signers and status.

    Step 1

Upload a PDF or pick a template. Fill in your parts and place the boxes.

  2. What the client sees on their phone: Kestrel Build and Civils, the variation order to sign, and a Send my code button.

What your client sees. No app to install.

    Step 2

Send a link. Your client signs on any phone, tablet or computer, and uploads the documents you asked for.

  3. A completed practical completion certificate: both signers marked Signed.

    Step 3

The document is sealed with its certificate, and everyone gets a copy.

One template, any case

Documents change with the case. One template covers one signer or two, and the parts each person fills in change to fit the case. You never keep a second template for a second signer.

One template for a one-signer or a two-signer case, with the parts each person fills in changing to fit.

Ask for any document, and make it required

  • Ask for anything you need, named your way: an ID, proof of address, a bank letter, a tax number, a company registration, anything.
  • Mark it required, and your client cannot finish signing without it.
  • Uploads are part of signing, so nothing is chased afterwards.
  • Several documents per person, and both sides of an ID in one go.
  • Wrong photo? One tap sends your client a link to replace it. The signed record stays as it was.
What your client sees: the documents you asked for, an ID document and proof of address, each marked Required, before they sign.

When it must be signed in ink

Some documents must be signed on paper, like a sale of property, a lease over 20 years, or a will. They are never sent for e-signing, but you can still send them. Fill in the document and share it with your client by link. They sign it on paper and send photos or a PDF back through the same link, or you add it yourself. You are told the moment it arrives, and it is kept with the original and its history. You can share any document this way, not only the ones the law says must be in ink.

What you get

One link out. Evidence back.

They sign on any device

A secure link by email or WhatsApp, opened on a phone, tablet or computer. No app, no login. Every signer confirms a one-time passcode, delivered by WhatsApp or email as you choose. Drawn signatures, initials, dates and the fields you place.

Consent that stands up

Before anyone signs, they accept a versioned consent stating exactly what is recorded: intent to sign, the IP address and device details captured, certificate distribution and retention. Every step is written to a tamper-evident event trail.

Sealed with its certificate

The completed document is sealed as a PDF, and a seal certificate travels with every copy a party downloads: who signed, when, the consent they accepted, and the legal basis the document was signed under.

And when an agreement lapses, you re-issue it rather than rebuild it: duplicating a document you already sent gives you a fresh draft with the same terms, the same parties and the same field layout (and none of the expired document’s signatures, consent or evidence), ready to send again.

The line it holds

It knows what may not be signed electronically.

South African law excludes some documents from electronic signing entirely, and sets an accredited-signature bar for others. This platform holds that line for you: a blocked category is refused with the reason, never fudged into a signature a court would void.

What follows is read live from the same rules the product enforces.

Signs electronically

Your mandates and everyday agreements live here: ordinary electronic signatures under ECTA s13(3), sealed with a certificate.

General agreements: mandates and everyday contracts
ECTA s13(3): an ordinary electronic signature with a full audit trail.
FICA declarations
FICA itself sets no signature-type requirement: an ordinary electronic signature with an audit trail is the standard practice.
Mandatory disclosure forms (PPA s67)
PPA s67 mandatory disclosure: an ordinary electronic signature with an audit trail is the defensible approach.

Excluded by law: wet ink

The platform never sends these for e-signing and tells the sender why. Share them for signing on paper instead. These are the exclusions it holds today. A signature the law does not recognise protects nobody.

Sale of immovable property: offers to purchase, deeds of sale
ECTA s4(4) and Schedule 2 exclude alienation-of-land agreements from electronic signing.
Leases over 20 years
ECTA s4(4) and Schedule 2 exclude leases of land over 20 years.
Wills and codicils
ECTA s4(4) and Schedule 2 exclude wills and codicils.
Bills of exchange
ECTA s4(4) and Schedule 2 exclude bills of exchange.

Requires an accredited Advanced Electronic Signature

Not yet available here. The category is refused rather than faked.

Suretyships
General Law Amendment Act s6, read with ECTA s13(1): requires an accredited Advanced Electronic Signature.

Choosing the category is the sender’s call. The defaults are informed by ECTA, not legal advice. Once chosen, the platform holds the line.

The app knows which documents may be signed on screen and which must be in ink, and says so when you send. You never have to guess, and the final call stays yours: this is not legal advice.

Fees

No per-envelope fees. No per-signature fees.

Nothing is metered per document or per signer.

What this does, and what it does not.

Not legal advice.
The category defaults are informed by ECTA; choosing the right category for a document remains your call, and nothing here replaces advice on a specific transaction.
Advanced Electronic Signatures are not yet available.
A document category that requires an accredited AES, suretyships among them, is refused with the reason, rather than signed at a level the law does not accept.
A certificate is evidence, not an outcome.
The seal certificate records what happened, verifiably. It does not decide a dispute for you.
Signing and Identity & FICA are separate modules.
Each is switched on and used on its own.
Retention follows your settings.
Completed documents and their evidence follow your configured retention period (at least five years) with automatic lifecycle handling after it ends.

Questions

Document signing FAQs

Are electronic signatures legal in South Africa?

Yes, where it is the people making the agreement who ask for a signature, not a law, and they have not agreed on a particular kind. The Electronic Communications and Transactions Act then accepts an electronic signature when the signer is identified, their approval is recorded and the method is as reliable as the document calls for. The consent, the audit trail and the certificate are the evidence of that. A few documents must still be signed in ink, such as a sale of land or a house, a long lease of land (over 20 years) or a will, and PremHQ never sends those for e-signing. Where a law demands a signature without saying which kind, an accredited Advanced Electronic Signature is needed. That is not available here yet, so those documents are refused too.

Can an offer to purchase or sale agreement be signed electronically?

No. Section 4(4) and Schedule 2 of ECTA exclude agreements for the sale of immovable property, so an offer to purchase cannot be validly signed electronically. We never send it for e-signing, but you can prepare it here and share it for signing in wet ink. The signed copy comes back to you and is stored with the record.

Can a sole mandate be signed electronically?

Yes, provided your mandate does not itself call for a different signature type. It is signed electronically here as a standard agreement: the platform treats it under the general category, with an ordinary electronic signature backed by the seal certificate and audit trail as your evidence.

What is the difference between an electronic signature and a digital signature?

“Electronic signature” is the legal term ECTA uses for a mark made with intent to sign: what this platform provides, as an ordinary electronic signature backed by a full audit trail. “Digital signature” usually means certificate-based cryptographic signing, the technology behind ECTA’s accredited Advanced Electronic Signatures, which are not yet available here; categories that require one are refused rather than faked.

What does the seal certificate contain?

Who signed, when, the versioned consent each party accepted, the legal basis the document was signed under, and an anchor into the tamper-evident event trail. Every completed document comes with one, appended to the PDF each party downloads. Copies sent to signers redact the other parties’ IP and device details; the sender’s copy keeps the full record for a dispute.

What does it cost?

R 249 a person a month, down to R 139 for bigger teams, excluding VAT. Every plan has a minimum of R 299 a month, excluding VAT, for your whole company, not per person. If your bill comes to more, you pay that instead. There are no per-document or per-signature fees: nothing is metered per document or per signer.

How long are signed documents kept?

For as long as your retention settings say: completed documents and their evidence follow your configured retention period (at least five years), and an automatic lifecycle handles expiry and removal after it ends. The audit trail is tamper-evident for its whole life.

Stop chasing signatures. Start sealing them.
